City Secretary & Records

The City Secretary and Records Department serves as the administrative backbone of the City of Everman, ensuring transparency, legal compliance, and accessibility in the governance process. As the official custodian of city records, this department plays a vital role in maintaining the integrity of municipal operations and providing responsive public service to residents, elected officials, and staff.

What We Do

The City Secretary’s Office is responsible for a wide range of core functions, including:

  • Public Records Management – Preserving, organizing, and providing access to official city records in accordance with the Texas Public Information Act and state records retention laws.

  • City Council Support – Preparing City Council agendas, compiling meeting packets, attending council meetings, and recording and publishing minutes.

  • Elections Administration – Coordinating municipal elections in partnership with the Tarrant County Elections Office, ensuring compliance with state election laws, and facilitating fair and accessible voting.

  • Ordinances & Resolutions – Filing, indexing, and maintaining all city ordinances, resolutions, and contracts for legal reference and historical preservation.

  • Public Information Requests (PIRs) – Receiving, processing, and responding to public records requests from citizens, attorneys, media, and other stakeholders.

  • Boards & Commissions – Maintaining records of city board and commission appointments, terms, and meeting documentation.

  • Official Notices & Publications – Managing the posting of legal notices, meeting agendas, and public hearing announcements to ensure compliance with the Texas Open Meetings Act.
